Position Overview
The Operations Administrator provides full administrative support to construction field staff. The position requires multitasking and the ability to work with multiple managers at a high level.
Responsibilities
- Assist operations staff as needed
- Create and revise operations forms
- Update and maintain project logs
- Assist subcontractors in the prequalification process and maintain current records in Procore
- Edit and finalize monthly progress reports
- Prepare and distribute project site safety manuals
- Prepare outgoing project related shipments
- Facilitate and prepare operations meeting minutes
- Make travel arrangements for operations personnel as needed
- Maintain project files and keep all information up to date
- Maintain Incident Report and ensure all reports are filed appropriately
- Prepare and/or review operations expense reports as needed
- Review, approve, log, and save subcontract documents such as subcontracts, purchase orders, change orders, and others
- Review, request revisions as needed, approve, log and save compliance documents such as certificates of insurance, W-9s, bonds, consent of surety, and others
- Acquire all missing or incorrect paperwork from subcontractors/project managers and work with the project managers on unentered invoice cleanup
- Prepare subcontractor warranty forms
- Once projects are complete, box closed project files and receive, organize, scan, and track O&M manuals
- Answer phones politely and transfer calls to appropriate personnel
- Other duties, as assigned
Qualifications & Experience
Education & Experience
- High school diploma or equivalent.
- 3+ years’ experience of direct support of construction management and field personnel.
- Advanced understanding of construction terminology
Required Skills & Abilities
- Proficient with Microsoft Office, including Outlook, Word, and Excel
- Proficient with Procore
- Ability to work with others performing similar and/or support tasks
- Ability to absorb and effectively communicate information and ideas presented
- Excellent verbal and written communication skills to communicate with A M King personnel, subcontractors, vendors, and clients
- Ability to engage with and collaborate in a team environment
- Effective time management and multi-tasking skills and ability to meet required deadlines
- Ability to thrive in a fast-paced work environment
